Create and edit customers

Create a customer, maintain its details, tags and sites, and delete it.

A Customer in octoja represents a company or organisation whose IT systems you manage. Sites always belong to a customer, and devices and cases are assigned to one so that dashboards, reports, and access rules line up with the company they concern.

To create many customers at once, import them from a spreadsheet instead.

Before you start

You need the Customer Management permission, and at least one of your groups must have Access to all customers enabled on its Customer Access tab. If none of your groups has it enabled — because they grant access through Access to selected customers or Access by rules instead — the Add Customer button is not shown, and creating a customer is refused with "Only users with access to all customers can create customers."

Steps

  1. Click Customers in the left sidebar.
  2. Click the Add Customer button (top right).
  3. Fill in the details:
FieldRequired?Description
NameYesThe company name, for example "Contoso Ltd"
Reference No.NoAn external reference from your CRM or PSA tool. Use this to match octoja customers to records in your other systems.
  1. Click Add.

The customer is created and the dialog automatically opens the new customer's detail page, with a "Customer created" confirmation.

The following walkthrough shows the full create-customer flow:

Animated walkthrough — click Add Customer in the page header, type Contoso Ltd in the Name field of the dialog, type CRM-1001 in the Reference No. field, click Add; the customer detail page for Contoso Ltd opens with a "Customer created" toast.

Adding sites

Sites represent physical locations like offices, data centres, or warehouses, and help you organise devices by location — when an alert fires, you can immediately see which office is affected. To add one, open the customer's detail page, click Edit Customer in the page header, and use the Sites section on the edit page. For the full walkthrough, see Add a Site.

Edit a customer

You maintain the address, contact person, tags and sites on the Edit Customer page. This requires the Customer Management permission.

  1. Open the customer under Customers and click Edit Customer in the page header.
  2. Change the sections you need:
SectionFields
InfoName (required), Reference No. and Tags
AddressStreet, Postal Code, City, Country
Contact PersonFirst Name, Last Name, Position, Email, Phone
SitesAdd, rename, or remove sites with ×; see Add a Site
  1. Click Save at the top (or press Ctrl+S). octoja confirms with "Changes saved." and returns to the customer's detail page.

If you leave the page with unsaved changes, octoja asks first.

A customer carries at most 50 tags of up to 100 characters each. You can create tags that do not exist yet only with the Create Custom Tags permission; without it you can use existing tags. You can use customer tags in config package rules with the Customer Tags condition and in Access by rules conditions that give groups access to customers.

Delete a customer

  1. First identify which of the customer's cases must remain accessible and which devices they are linked to.
  2. Assign all of the customer's devices to another customer or delete them. Reassign devices linked to cases that must remain accessible, rather than deleting those devices. Make sure you still have access to those devices after reassignment. As long as devices are assigned to the customer, octoja refuses to delete it with "Customer still has devices and cannot be deleted."
  3. Explicitly assign each case that must remain accessible to an existing customer — see Manage Cases. Then check that the case displays the intended customer. Reassigning a device does not replace this step. This requires Case Management and access to the case and target customer.
  4. Open the customer, click Edit Customer and, in the Danger Zone area, click Delete.
  5. Confirm with Delete in the Delete Customer dialog.

Warning: The customer and all of its sites are deleted permanently. This cannot be undone. Assigned cases remain stored but are not automatically moved to another customer. Cases still assigned to the deleted customer subsequently become inaccessible in the case list and through the API, including for users with access to all customers.

You cannot delete the built-in NFR customer.
